Golf Room Booking Agreement

These Terms & Conditions ("T&Cs") govern all bookings and use of the Golf Room and its facilities. By making a booking, you agree to comply with these terms.

1. Definitions

  • "Golf Room" refers to the indoor golf simulator facility and related amenities.
  • "Facility" refers to the premises where the Golf Room is located.
  • "Booking Holder" refers to the individual who makes the reservation.
  • "Guests" refers to all persons attending under the Booking Holder’s reservation.

2. Booking Policy

2.1 Reservation Requirements

  • All bookings must be made in advance through the official booking platform, phone, or in person.
  • The Booking Holder must be 18 years or older.
  • A valid name, phone number, and payment details are required to secure a reservation.

2.2 Booking Confirmation

  • Bookings are only confirmed upon successful payment via the online booking system.
  • Confirmation will be sent via email/WhatsApp or SMS.

2.3 Minimum and Maximum Capacity

  • Maximum occupancy per Golf Room Simulator: 4 persons
  • For safety and equipment protection, exceeding capacity is strictly prohibited.

3. Payment Terms

3.1 Pricing

  • Rates are charged per hour unless otherwise specified.
  • Peak and off-peak pricing may apply.
  • Prices are subject to change without prior notice.

3.2 Deposits

  • A deposit of 100% may be required for group or event bookings.
  • Deposits are non-refundable unless stated otherwise.

3.3 Outstanding Balances

  • Full payment must be completed prior to or at the start of the booking.
  • Failure to pay may result in cancellation without refund.

4. Cancellation & Refund Policy

4.1 Standard Bookings

  • Cancellations made more than 24 hours before the booking: Full refund or reschedule
  • Cancellations between 6–24 hours: Reschedule only (no refund)
  • Cancellations less than 6 hours / no-show: No refund

4.2 Late Arrivals

  • Time lost due to late arrival will not be extended.
  • The booking will end at the scheduled time.

4.3 Facility Cancellations

  • If the Golf Room becomes unavailable due to technical issues or unforeseen circumstances, a full refund or rescheduling option will be offered.

5. Code of Conduct

5.1 General Behaviour

Guests must:

  • Respect staff, property, and other guests.
  • Follow all posted safety rules and staff instructions.
  • Refrain from abusive, aggressive, or unsafe behaviour. Management reserves the right to terminate a session without refund for misconduct.

5.2 Alcohol & Substances

  • Alcohol consumption is permitted only if allowed by management.
  • Illegal drugs or intoxicated behaviour are strictly prohibited.

6. Safety & Equipment Use

6.1 Equipment Responsibility

  • Guests must use simulator equipment, clubs, screens, mats, and furniture properly.
  • Only one person may swing at a time.
  • Practice swings outside designated hitting areas are prohibited.

6.2 Damage Policy

  • The Booking Holder is financially responsible for any damage caused by themselves or their guests.
  • Costs for repairs or replacement will be charged accordingly.
  • The Booking Holder accepts full responsibility for ensuring that all guests comply with safety rules and proper use of equipment. Any damage resulting from misuse, negligence, or failure to follow instructions will be charged to the Booking Holder.

6.3 Supervision of Minors

  • Guests under 18 must be supervised by a responsible adult at all times.

7. Health & Liability

7.1 Assumption of Risk

Golf activities involve inherent risks. By entering and using the Golf Room, guests accept full responsibility for personal injury or damage to personal belongings.

7.2 Waiver of Liability

The Facility is not liable for:

  • Injuries sustained during use of the Golf Room.
  • Loss, theft, or damage to personal property.
  • Accidents resulting from failure to follow safety guidelines.

7.3 Medical Conditions

Guests should not participate if they have medical conditions that may be aggravated by physical activity.

8. Food & Beverage Policy

  • Outside food and beverages is restricted unless pre-approved.
  • Any spills or damages may incur cleaning fees.

9. Cleanliness & Room Condition

  • Guests must leave the Golf Room in reasonable condition.
  • Excessive cleaning required may result in additional charges.

10. Privacy & CCTV

  • CCTV may be in operation for safety and security purposes.
  • Personal data collected during booking is handled in accordance with applicable privacy laws.

11. Force Majeure

The Facility shall not be held responsible for cancellations or interruptions caused by events beyond its control, including but not limited to power outages, natural disasters, or government restrictions.

12. Amendments

Management reserves the right to amend these Terms & Conditions at any time. Updated versions will be posted on the official website or at reception.

13. Governing Law

These Terms & Conditions shall be governed by the laws of the Republic of South Africa.

14. Acceptance of Terms

By completing a booking, the Booking Holder confirms that they:

  • Have read and understood these Terms & Conditions.
  • Agree to be responsible for all guests under their booking.
  • Accept financial responsibility for damages or rule violations.
  • Consent to such processing of personal information which is collected and processed in accordance with our Privacy Policy. Please refer to our Privacy Policy for full details.
